Most "ideal customer profile" exercises produce a persona: 35-50, mid-size company, VP of Something, values efficiency. It reads like market research and predicts almost nothing, because two people who match that profile perfectly can have completely different willingness to buy — one's happy with their current setup, the other's been burned twice this month by the exact problem you solve. The profile can't tell them apart. The trigger can.
Age, title, company size, and industry are useful for narrowing a list, not for predicting a sale. They answer "who could theoretically buy this" — a huge, mostly uninterested group. What they can't answer is "who's actually looking right now," which is the only question that matters when you're deciding where to spend outreach time.
The customers who convert fastest usually share an event, not a demographic: they just lost a key employee who was the only one who understood the old system, a compliance deadline moved up, a competitor visibly beat them on something your product addresses. That event is what makes "later" turn into "now." A persona tells you who to talk to eventually; a trigger tells you who to talk to today.
Go back through your last 15-20 closed deals and ignore the demographic columns entirely. Ask one question per deal: what happened right before they started looking? A pattern usually shows up within the first ten — not "companies like X" but "companies that just went through Y." That pattern is worth more than any age-and-income table, because it tells you when to reach out, not just who to reach.
Keep the demographic filter — it's still useful for not wasting time on people who structurally can't buy. But put the trigger first. "Who recently hit this specific wall" beats "who fits this profile" every time, because it's the difference between finding someone who might need you eventually and someone who needs you this week.
